SYSTEM IMPLEMENTATION

Smart IT offers the delivery of the full life-cycle ERP system implementation projects covering all baseline SAP functionalities. We implement projects using SAP developed Accelerated SAP (ASAP) project management methodology. We use SAP Solution Manager system to support various SAP implementation project processes.

1	BUSINESS PROCESS BLUEPRINT

Our consultants deliver the project team training before the start of the process analysis to ensure business function representatives have a good understanding of the standard SAP functionality.

Our approach to the business process analysis is based on two tasks:

- “AS-IS” – Analysis of the existing business processes - “TO-BE” – Design of the new SAP system and business processes

Our consultants analyze the business requirements in the workshops with the business function representatives to determine required SAP organizational structure, system processes, master data, reports and integration with the legacy systems in the blueprint phase of the project.

For the new system implementation projects, we map the business process requirements to SAP system process to determine the best scope of SAP functionalities to be used, followed by the capture of the detail functional requirements.

For the customers who use corporate template or SAP Business All-In-One, we offer special template based analysis approach. This approach is based on the identification of the gaps between the organisation’s business requirements and the functionality covered by the template, followed by the design of the solutions for the identified gaps.

3	PREPARATION FOR SYSTEM GO LIVE

The Preparation for system Go Live phase starts with the detail cut-over plan development followed by the set up of the productive SAP system, user roles and authorizations, end user training and data migration to the productive SAP system.

One of the most important SAP project tasks is the preparation and migration of the data to productive SAP system. We offer the following services to support data migration process: data migration project management, audit of the electronically available data and it’s quality, data migration strategy document preparation, development of the data migration programs – export from the legacy systems and import to SAP systems and data migration testing and quality assurance.

We offer intensive post Go Live system maintenance and end user support services as well as further system development delivery services.

2	SYSTEM REALIZATION AND TESTING

In the system realization phase of the project, Smart IT consultants perform the following tasks:

- Install SAP system and relevant IT infrastructure - Perform system parameterization - Customize standard system reports - Develop custom code programs - Develop the interfaces with the legacy systems if required

The system is developed with the objective to make the end user work with the system simple, convenient providing right data entry validations and controls.

In the system testing phase, we develop a Test Plan, which includes testing strategy, objectives and functions that require testing. We also support the business function representatives in preparation of the test scenarios that define the test data, system processes and validation criteria definition as well as execution of the defined tests.

Our testing approach is based on three tests:

- Internal system testing is performed by our consultants to ensure that the configured SAP system meets SAP technical performance criteria

- Module test is performed by the business representatives and covers separate business processes in the system

- Integration test is performed by the business representatives and covers complex end-end business processes in the system as well as the integration with the legacy systems.

4	PROJECT MANAGEMENT

One of the most critical SAP project success factors is the selection of the qualified technical SAP implementation and business project managers to lead the project team. Technical SAP implementation project manager leads the team of SAP consultants, whereas the business project manager leads the team of the business function representatives and is responsible for the business change process.

We offer technical SAP implementation and business project management services on the project delivery and staff outsourcing basis.

GLOBAL ROLL-OUT AND SUPPORT

We offer the support for corporate SAP roll-out project to Baltic subsidiaries to help adopt system to Baltic legal accounting requirements and local subsidiary business processes. Our SAP consultants, who speak local and English languages having the experience of implementing roll-out projects in the Baltic countries, can provide effective interface between local subsidiary business representatives and central SAP development team of the customer working on site with the local subsidiary business representatives.

We provide the following services to support roll-out projects:

Project team members and end users training
Analysis of the local requirements, solution realization and testing in SAP system
Implementation of localization solutions developed by Smart IT specialists that are not available in standard SAP system

It’s important to identify the scope of the system functions that may require localization to comply with the Baltic legal accounting requirements in the beginning of the project. These functions include:

SAP does not offer fully localized version of the system for Baltic legal accounting requirements. We offer the following localization functions developed by our specialists:

Bank interface with all major Baltic banks including incoming and outgoing payment processing and manual and automated open item clearing
Incoming payment interface with all major Baltic factoring companies
Automatic posting of the mobile phone company invoice items
Localized VAT reports and electronic data exchange with tax and revenue agency
Excise tax electronic data exchange with tax and revenue agency
Customer invoice accounting according to Latvian legal requirements
Localized SAP forms and reports such as balance confirmation, dunning letters, cash receipts

SYSTEM SUPPORT

We offer the 2nd level technical SAP product support providing assistance to the experts within the customer organisation. The support process is managed using our SAP Solution Manager Service Desk system. We deliver support services remotely accessing customer system and working on customer site. We provide flexible SLA reporting to the customers.

1	PROBLEM RESOLUTION

We provide rapid resolution of the system related problems reported by the customers via telephone or email. This includes helping customers to effectively use their SAP system and resolution of the functional problems found in SAP system.

3	CHANGE MANAGEMENT

Change Management service includes the modification of SAP ERP system to improve usability, functionality and performance of the system. We offer execution of the SAP system upgrades.

2	PREVENTATIVE MAINTENANCE

We offer performance of the regular routine system maintenance tasks, usually at technical basis level, with aim to prevent future incidents, simplify system upgrades and increase technical performance of the SAP system. We define the maintenance tasks together with the customer taking into account specifics of the implemented SAP system landscape.

4	SAP SYSTEM PREPARATION FOR EURO CHANGE OVER

Latvia and Lithuania plan to join the Eurozone in the next few years and start using European single currency. All companies will have to convert all financial data in ERP systems from the expiring currency to Euro. Smart IT offers comprehensive set of services to help customers execute SAP system transition to Euro. We are the only Latvian SAP implementation partner that successfully performed SAP Euro conversion process in Estonia in 2011.

1	END USER TRAINING

One of the most critical success factors of SAP system deployment is the readiness of the end users to use the system. Necessary resources – time, qualified trainers and system user availability should be dedicated to user training process during system implementation project.
